Understanding the Refresh Cycle

To ensure all employees have access to reliable technology, the company operates on a standard three-year hardware refresh cycle. Every three years, your laptop is eligible for a full replacement with a current-generation model. Older hardware is prone to battery failure and thermal throttling. Our system tracks the age of your device and will notify you and your manager three months before your refresh date. This proactive approach prevents emergency situations that arise when critical hardware fails due to age, allowing you to schedule your transition during a lower workload period.

The Upgrade Request Process

If your role changes and you require a more powerful machine before your three-year window is up, you can submit an 'Out-of-Cycle Upgrade' request. This requires a business justification and approval from your Department Head. Once approved, IT will evaluate your current machine; if it is still in good condition, it may be repurposed while you receive a high-performance workstation. We prioritize these upgrades based on technical requirements to ensure that technology is an enabler, not a bottleneck, for your productivity.
