When to Use Out of Office (OOO) Replies

You should set an Out of Office (OOO) reply for any absence longer than half a business day. This manages the expectations of your colleagues and clients by informing them that you are not actively monitoring your inbox. Your message should be concise and professional, including the date of your return and the name of an alternative contact person for urgent matters. Differentiating Internal and External Messages

Outlook allows you to configure two distinct OOO messages: one for people inside the company and one for external senders. However, your external message should remain strictly professional. Avoid sharing excessive personal information about your travel destination or the reason for your absence in external replies, as this can be exploited for social engineering attacks. Always toggle the 'Only send to my Contacts' option for external replies to minimize responses to automated spam.
