Encrypted Messaging Best Practices
For highly sensitive communications involving trade secrets, financial data, or sensitive employee information, use corporate-approved encrypted applications such as Signal or the secure chat features within Microsoft Teams. Never discuss confidential matters or share passwords over unencrypted SMS text messages, as these can be intercepted by unauthorized parties or indexed by mobile service providers. Encryption ensures that only the intended recipient can read the message content. When using these apps, enable 'disappearing messages' for transient data and always verify the identity of the person you are messaging through a known internal channel before sharing any proprietary links or files.
Public WiFi and Cellular Safety
Avoid using work-related applications on public WiFi networks (like those found at airports, hotels, or cafes) without an active VPN connection. These networks are often unsecured, allowing hackers to set up 'Evil Twin' hotspots to intercept your data packets. If you must work while traveling, use your phone’s cellular hotspot, which provides a significantly more secure connection than an open public network. When using a hotspot, ensure it is protected by a strong, unique password. If you notice your phone behaving strangely—such as overheating or displaying unusual pop-up ads while connected to public WiFi—disconnect immediately and report the incident to the IT Security team for a remote device scan.
